Chapter Norms The Staff will meet at least once a month via one of the following: instant messaging (IM), VOIP (Skype, Team Speak, Ventrillo for examples) or phone conference to discuss and plan chapter business. Although the general membership is not required to attend staff meetings, interested parties are encouraged to participate with the approval of the Commanding or First Officer. It is recognized that personal schedules often conflict with meeting schedules. The order of importance is your family, your job, commitments and then USS Maquis. However, if you choose to take on a staff position please understand that there is a certain amount of responsibility and accountability. In essence, if you are able to commit please do, if not then volunteering or applying for additional responsibility might not be a good idea.
Meetings will be conducted once a month online via IM or other ‘chat programs’ such as IRC (Internet Relay Chat). Day to day communications will be via our Yahoo group list serve. Since we are a correspondence chapter, everyone should be on this e-mail list.
As a member of the USS Maquis, you are encouraged to work with local charities, attend conventions and represent the USS Maquis at other fanish events. At all times please conduct yourselves in a manner that will do credit to your ship and crewmates. Avoid all altercations if possible and walk away.
If any chapter business requires a vote, the vote will be carried by a consensus of attending members. A consensus is defined as a majority of votes. If the attending members are unable to reach consensus the matter will be tabled until the entire staff can be polled.
All status reports, updates, newsletter submissions will be rendered in a timely fashion. While missing occasional meetings is tolerated, inactivity by a senior officer is not. It takes all of us to make a Chapter run. A bimonthly newsletter will be created and distributed as a PDF to the entire chapter, plus prospective recruits for a period of 3 months, the Region Coordinator, and the other ships of the Region. Articles will be due on time. All Senior and Command Staff are expected to contribute one article per issue.
We as a correspondence chapter need to keep communications a key component with respect to the operations, to each other (staff) and the general membership. We will accomplish this through use of newsletter, website and forum, special mailing, phone contact, and our meeting minutes.
